Help with microsoft outlook!

Hi pros,

Got this small problem. Email running on POP3, current pst file size is approx 16GB. Need to do monthly backup but the process is very slow, when exporting to pst file can take up to 2 days!

No knowledge on these matters so went to googled, tried archiving but unable to search for mails in main inbox and archive mails at the same time.

Is this the norm if not what should be the correct way of backing up?

Why need to export to PST file? Doesn't Outlook already store emails in PST. Just copy that PST file and backup.

A good practice is to create a new PST file for every year for example FY2017, FY2018 etc... Reason is because as the PST file gets bigger, it becomes slower. Also if you deleted a lot of emails, please also compact the PST file to purge those deleted emails.

Why need to export to PST file? Doesn't Outlook already store emails in PST. Just copy that PST file and backup.

Each FY will become a PST file by itself. In Outlook, you can always link back the PST file if you need to search for the old mails. For me, I only keep the current FY and last year PST linked to Outlook.
